The physical process of PF transfer involves following steps.

- Employer forwards the application to the regional PF office
- After verification, the PF office forwards the application to the previous employer
- The previous employer verifies the application and attests it
- The PF office makes transfer of PF balance from one account to another
Through all these steps the physical forms travel from one place to another place. This physical travel takes time and promotes the arbitrary behaviour. On the other hand, online EPF transfer process has made the entire process very fast and transparent.
- The application does not travel from one office to another office. The form is submitted through the online PF transfer portal.

- Instead of months, whole process takes few days.

Who Can File For Online PF Transfer
So, the online PF transfer is very easy now. Everyone should go through this method. But it is not possible for every employee. To go through the online process an employee must fulfill some primary requirements. Don’t Worry! most of you would pass this test 🙂
One of your employers must have the digital signature.
The digital signature gives the facility of online verification. Only after the digital signature, an employer can attest the application online. Digital signature can be obtained through the OTCP portal for employers.
Your member IDs from present employment should be in the EPFO Database.
The PF member ID is generated by the employer. Once a new employee joins the organisation, the employer allots a PF member ID. This member ID is communicated to the EPFO with first deposit of EPF subscription amount. This process may take one month. Hence, a newly joined employee may not have its PF member ID in the EPFO database.
But how would you know that your employer has the digital signature or not? How would know that your EPF member ID is registered at EPFO database or not? No, you don’t need to visit the employer. You can verify these condition online through the EPFO portal.
Check Eligibility to Apply for Online EPF Transfer
- Visit the member claims eligibility check page.
- Enter the PF number of previous and present employment
- Click at ‘Check eligibility’ button.
- You would know the eligibility status. If eligible, proceed to further steps, else you can wait for some time.
Steps to Apply For Online PF Transfer
So, are you eligible for online PF transfer? Yes! Then we should rush to the steps of online EPF transfer.
Step 1- Register at member portal
Your first step of Online PF transfer should be the registration at EPF member portal. The registration is a must for this process. Through the EPF member portal, you can also download the EPF UAN passbook. However, the EPF passbook download facility is also given by the UAN portal.
- For registration go to the member portal and click on ‘Register’.
- To register at member portal, you have to give the mobile number, Choose the KYC document, give the document number, name and email address.
- After the submission, you will get an OTP to your mobile number.
- Enter the OTP to complete the registration process at member portal.
Step 2- Go To the EPF member OTCP portal. Click on ‘log in’. You have to choose the document, its ID and mobile number to log in into OTCP portal. Note, the document ID field is case sensitive. Hence, take care of small and capital letters.
Step 3 – Go to the tab ‘Claim‘ and select the ‘Request for Transfer of Account’.
Step 4- Fill the personal details in section A. In this section you have to enter the name, email ID, bank account number and IFSC code. It takes the mobile number from the member registration data. IFSC code of the bank can be found at the cheque. There is a link to check the IFSC code on this page as well. But It is not working while I am writing this post.
Step 5- Fill PF membership details of previous employment. Once you, enter the PF member ID and click on the button ‘click here to get details‘, except date of birth, all other member details get populated itself. However, if your PF membership detail is not in the database, you have to fill all the details yourself.
The ‘date of birth’ column is left blank deliberately. The EPFO want to authenticate it by asking it to you. If you fill the incorrect date of birth, you would not be able to proceed further. After 3 wrong attempts, the online EPF transfer facility would be locked for the member.
Through this page, you can also rectify your personal details. Except your name all other information can be modified. If you find your PF membership details incorrect, you can apply for correction.
Click at ‘incorrect details’. Except name all the field would become editable. Rectify the details and click at ‘Generate Correction PDF’.
Take a print out of this PDF and get the signature of the employer. Send this form along with documentary proof to the EPFO through the employer. It takes almost one month to correct the personal details. Wait for this period and after the rectification, you can apply for online PF transfer.
Step 6- Fill the PF membership details of the present Employment. This step is similar to step 5. Once you give the PF member ID, all other details get populated. If you don’t find other details, fill it yourself. All the columns should be filled
Step 7 – Choose Employer For Verification. It is the most important step. You have to choose between the previous and present employer for verification. You should consider following points before choosing any of the options.
- If you find that details from both employers are available with EPFO database and membership details gets filled itself. You should choose the present employer. However, the process is similar through both the employer, but the present employer might be more prompt.
- If the membership details from the previous employment are not available with EPFO database and you have filled the details, you should choose the previous employer for attestation. Because, to verify the details filled by you, EPFO sends it to the previous employer. The attestation can be done along with this verification. But, if you choose the present employer, the form would be sent to both of them, hence, it would take more time.
- If you are not in good terms with your previous employer and you suspect that previous employer can delay or reject the claim, always choose the present employer for attestation.
Step 8- With the step seven, the form filling process completes. Now, you can preview the whole form. Click on the preview and verify all the details. You can once again change information through this page as well. After the verification, you have to enter the captcha and click on ‘Get Pin’.
Step – 9 You will receive the PIN at your registered mobile number. Enter the PIN into the given field. Check the box of terms and condition and Click on submit.
Step – 10 After the final submission you can download the PDF copy of the EPF transfer form. You have to take a printout of the form. Sign over this form and submit it physically to the employer. The employer keeps this form for the records. You should submit the physical form as soon as possible. After 15 days, the employer can reject the EPF transfer claim.
What do you think how much time should EPF take for EPF transfer? Earlier, it used to take almost one month. But now the whole process completes within a week. The government is also working on EPF transfer and withdrawal without the signature of the employer. The linking of UAN with Adhaar will lead us to this feature.

The Mechanism of Online PF Transfer
When we file EPF transfer form through the EPF portal, the copy of the form is sent to two places. Two copy goes to the respective regional PF offices while another to the employer who will attest the form.
The employer is intimated about the new EPF transfer claim through the email.
To attest the claim, the employer needs to login at Employer’s OTCP portal. At this portal, the employer would see the claim of PF transfer.
The employer can attest it instantly using its digital signature. This attestation process requires only few clicks. After the attestation of the employer, the regional PF office gets intimation.
Now EPF out office (regional PF office of the previous employment) transfer the PF balance to the EPF in office. After receipt of the fund, the EPF in office submits the PF balance to new PF account.
Whether member can edit his details i.e. father’s name, relationship, date of birth, date of joining, date of exit as available in the EPFO database?
Ans:- No, the member cannot edit his details i.e. father’s name, relationship, date of birth, date of joining, date of exit as available in the EPFO database. But, There is a link given to facilitate this rectification process.

Ans:- Yes, the member can file online claim only through his previous employer if only his previous employer has registered digital signatures on the Online Transfer Claim Portal (OTCP) portal of EPFO.

Ans:- Yes, the member can file online claim through his present employer if only his present employer has registered digital signatures on the Online Transfer Claim Portal (OTCP) portal of EPFO subject to the availability of the member details pertaining to previous employment in EPFO database.
Q:- Which employer should member submit his claim to for attestation, in case his present establishment is exempted under the Employees’ Provident Fund Scheme, 1952?
Ans:- If the present establishment is exempted under the Employees’ Provident Fund Scheme, 1952, the member can submit claim only through the present employer as the Bank Account No. and IFS Code of the exempted trust would be required to be furnished for transfer of P.F. accumulations to the bank account of Trust.
Q:- How can a member apply for Transfer Claim in case his previous establishment is exempted under the Employees’ Provident Fund Scheme, 1952? Ans:- The member would fill up the claim application online. On submission, two claims would be generated by the system – one digital claim for transfer of service details from EPF office would move to the employer in online mode for submission through OTCP portal and other physical claim for transfer of P.F. accumulations from exempted trust would be generated in PDF format for physical submission to the previous trust through the employer.
Q:- Which employer – previous or present – should the member approach after online submission of the claim with the duly signed printout of the claim?
Ans:- The member is required to approach the employer opted for attestation while filing online submission of the claim with the duly signed printout of the claim form.
Q. How can a member know that the employer has edited the data furnished by him while filing the claim online? Ans:- In case the employer has edited the data submitted by the member in the Online Transfer Claim form, the member would get a PDF file of the revised claim form as submitted by the employer in the “View the status of Transfer Claims” under the tab “CLAIM”.
Q:- How can the member get to know the claim status of the claim submitted online by him?
Ans:- The member would have an updated status of the claim in the “View the status of Transfer Claims” under the tab “CLAIM”.
Q:- What are the probable reasons for rejection of an online claim by the employer?
Ans:- The probable reasons for rejection of an online claim form by the employer can be of the following two types: (i) In case of the claim submitted for attestation by previous/ present employer (a) The claim (physical or online) has already been forwarded to EPFO and has not been rejected till date. (b) The signed copy of the printout of the claim submitted online has not been received from member. (This option would be available only after 15 days of online submission of the claim) (c) The member details do not match with establishment records. (d) The signature of the member does not match with those available in office records.
